Your personal data is of utmost importance to us. We promise not to share your personal data with 3rd parties in such a way that will compromise your privacy.
What data do you collect?
The data we use is collected upon booking confirmation. The personal data we require includes, but is not limited to, lead party name, adddress, phone, mobile and other contact phone numbers, and e-mail addresses. If choosing to pay by debit or credit card, we would require a valid set of card details, which is only held whilst the payment is authorised. We also require your arrival and departure information, including but no limited to, date, time, place and method of carriage as necessary to facilitate the booking. If you book your flights through us, we require the names of all passengers, including children, and the date of births for all passengers who are classed by the airlines as a child (usually 12). At the customer's discretion, we will also retain a record of a method of payment necessary to provide a security deposit in accordance with our terms and conditions. This is retained until at least 2 weeks after departure, depending on whether action under the security deposit mandate is required.
Who is my data shared with?
The bare minimum amount of data is shared as necessary to facilitate a successful booking with us. This includes:
Villa: The arrival date, departure and lead passenger's name is shared with the villa's management company and villa's owner. This ensures the villa is fully prepared for your arrival and prevent double bookings.
Flights: The arrival date, departure date and every passenger's name, including children, and all children's and infant's date of births are shared with the airline booking agent/consolidators. These are needed to secure the flights for a booking.
Meet N' Greet: The arrival time, method of arrival and villa address is shared with the our representatives in Florida, to ensure you are met and transported to your villa correctly.
Car hire: The arrival date, drop off date, lead passenger's name and choice of car is needed to facilitate the booking. This is shared with our car hire booking agent. If the driver is under 25 then their age is also required.
Attraction tickets: The type of tickets, and their breakdown amongst adult, children and infants is shared with our attraction ticket booking agent. To help facilitate a booking we need need to share extra data. In these cases we will contact you and request your permission.
We reserve the right to share all retained data with law enforcement and government agencies for investigative purposes. Further to this all information is available to all employees of Florida Villas including all US subsiduaries for the purpose of administrating boookings correctly.
How long is information retained for?
To comply with UK government tax laws all booking and invoicing data is retained for seven years after following the end of the UK tax law that the booking was made. This data will be reproduced upon request to law enforcement and government agencies.
